How can I safely remove data for previous years from my production database?
Using the Journyx Timesheet utility backupdb that ships with the standard product, you can opt to archive data for a specific time period from your production database. The commands allow you to make a backup of time, expense and mileage data for your selected time period with an option to purge the same information from your production database after the backup has been created. While archiving should be carried out with caution, it can be part of best practices for maintaining the size and performance of your production site.
Please contact Journyx Support to obtain a copy of the backup and restore guide for administrators that includes details on how to execute the commands and best practices for using the archiving tool.
How do I make the transition to the new year with Accountlink if I close out my QuickBooks file annually?
Some QuickBooks users close out their books at the end of a fiscal year. If you need to make a copy of your QuickBooks file for this, or any other, reason, you will need to also copy the .ini file that Accountlink created.
For example, if you previously ran Accountlink for the QuickBooks file MyCompany2003.qbw, you will have a file named MyCompany2003.ini. If you make a copy of MyCompany2003.qbw and call it MyCompany2004.qbw, you will also need to rename your MyCompany2003.ini file to be called MyCompany2004.ini. Doing so will allow Accountlink to recognize that MyCompany2004 contains the same data as MyCompany2003, which has been registered with Timesheet.
Note: Once you copy/rename a QuickBooks file, you should no longer run Accountlink with the old file. All subsequent synchronizations should be run with the new file.
