Executive Assistant


Journyx is seeking a dynamic individual for an Executive Assistant position. The qualified candidate will be responsible for assisting the Senior VP of Sales and staff in all general office duties. Essential duties include performing administrative and secretarial functions, managing and updating databases, as well as generating weekly reports, maintaining filing systems, assisting with mailouts as necessary and managing supply inventory.

Additionally, candidate must be able to handle multiple tasks simultaneously, follow procedures as outlined, possess strong verbal and written communication skills, be proficient in current office software and database programs including but not limited to: MS Word, Excel, Power Point, Internet and e-mail software. This position also requires: planing and coordination of special events, arrangement travel plans, the ability to prioritize workload and work independently. Strong telephone etiquette and an eye for detail are mandatory.

Position Description

Provide all levels of executive administrative support to Senior VP of Sales and staff, including the Marketing department. Extensive work in Power Point, Word, and Excel. Arrange staff meetings, travel arrangements, and Outlook (calendar) management. May perform special projects as needed. Position is for part time employee 20 - 25 hours per week.

Position Requirements

  • Minimum of five (5) years experience as an Executive Assistant supporting VP level executives in the high tech industry
  • Two (2) years of experience in product or services marketing
  • Proficiency in Word, Excel and Power Point
  • Stable employment history
  • Two (2) references from prior employers
  • Knowledge of SalesForce customer relationship management software a major plus

Duties & Responsibilities

  • Prepare monthly calendars and keep track of schedules and assist in planning, coordinating and executing meetings, functions and special events
  • Maintain all administrative filing
  • Direct support to Senior VP of Sales
  • Book travel as needed, including arranging accommodations according to preferences
  • Maintain all office supplies and related to marketing materials
  • Shared receptionist duties, to include: taking, screening, and placing phone calls; organizing and maintaining mail; scheduling and arranging interviews, meetings, and appointments
  • Greet all clients and direct to appropriate individual

Knowledge & Abilities

  • Knowledge of modern office equipment such as multi-line phones, fax, copier, and printers
  • Knowledge of modern business communication, including style and format of letters, memoranda, and reports
  • Experienced with working in a network environment
  • Ability to establish priorities and work independently, and proceed without supervision
  • Ability to type 50 words per minute
  • Ability to use independent judgment in many tasks

Experience Required

  • Minimum of seven years senior level administrative experience in a fast paced corporate or operations environment
  • Experience in human resources
  • Must have experience providing administrative support to a senior level officer
