Who Can Benefit

  • Customers currently in production with a previous version of Journyx Timesheet who are preparing to migrate to the latest release of Timesheet, version 5.6.
  • Customers who would like Journyx Professional Services to perform an implementation audit of the current Customer implementation prior to a product migration.

Scope

Journyx Professional Services will meet with the customer team during a 2 phase process to review the customer's current Journyx Timesheet implementation, to provide technical consulting advice to the team, make recommendations on Timesheet usage, configuration, and tuning, and complete a migration readiness review.

The scope of this audit is to perform analysis and to make suggestions and recommendations to the Customer. Any effort required to implement these suggestions or recommendations are strictly the responsibility of the Customer and are outside of this scope.

Preparation

To facilitate the preparation required by Journyx prior to the actual audit, Journyx requires a database backup in Journyx dbbackup format provided by the customer to Journyx at least ten (10) days prior to the inception of the project.

Deliverables

  1. Journyx Professional Services will perform a database analysis to determine if and how Timesheet can be configured differently to improve the performance of the system. Journyx Professional Services will review and discuss the following system parameters:
    • Global Parameters and Time Period Definition
      • Global Parameters
      • Time Period Definition
    • Application Interface Management
      • Time Entry Screens - Review parameters for all Time Entry Screens.
      • Expense Entry Screens - Review parameters for all Expense Entry Screens.
      • Creating Mileage Entry Screens - Review parameters for all Mileage Entry Screens.
    • Column Management
      • User Custom Fields
      • Project Custom Fields
      • Project Hierarchy Definition- - Review current hierarchy and define the appropriate project hierarchy for your organization.
      • Other Variable Pick Lists (Task, Pay Type, Bill Type) - All pick lists and extra fields for pick lists
  2. Journyx Professional Services will review and discuss the following reporting requirements:
    • Reports
      • Daily administrative reporting requirements
      • Departmental reporting requirements
      • End user reporting requirements
      • Review of current reports that are being processed
  3. Journyx Professional Services will review and discuss the sharing model currently adopted by the customer. Specifically, the following sharing/hierarchy will be reviewed:
    • Setting up of users
    • Creating custom roles
    • Creating business policies
    • Creating groups
    • Creating dependencies
  4. Journyx Professional Services will document the audit findings and make recommendations on Timesheet usage, configuration, and tuning in a implementation audit report. This report and the migration readiness review will be presented to customer.

Activities

Activities included in this service package include performing data analysis, providing consulting analysis on data structure, integrations, reports, and configuration alternatives. Based upon the results of this analysis, Journyx will also perform a readiness review and make specific recommendations on the requirements, timing, and preparation necessary to migrate the current production system to the latest release of Timesheet.

Phase 1:

  • Kick off Meeting:
    Attendance: Executive sponsors and Timesheet administrators
    • Define customer team and availability
    • Review the agenda for project
    • Goals of audit agreed upon by both parties
  • Business Process Review:
    Attendance: Executive sponsors, Timesheet administrators, Timesheet users with significant reporting needs
    • Discuss business objects of Timesheet
    • Review what is working successfully now
    • Discuss what is still needed
    • Identify reporting requirements
    • Any other outstanding issues that need to be addressed
    • Q&A
  • Product Process Review:
    Attendance: Timesheet administrators, Timesheet users with significant reporting needs
    • Product Demo
    • Review daily processes: reporting and administrative tasks
    • Define future ideal processes
    • Review areas in product that are hampering production

Phase 2:

  • Presentation of findings and recommendations
    Attendance: Executive sponsors, administrators, individuals with significant reporting needs
  • Review of migration steps and recommendations
    Attendance: Executive sponsors, administrators, individuals with significant reporting needs, technical administrators
  • Demonstration of Timesheet 5.5 focusing on benefits specific to Customer

For Customers With Fewer Than 100 Users

Customers with fewer than 100 users who have a current paid maintenance contract are eligible to receive the actual Timesheet upgrade a part of this package. All other customers will be required to pay the normal charges for version upgrades as defined by either their original purchase contract with Journyx or by the normal Journyx upgrade policies if terms are not specified in the original purchase contract.
